Spa Policies

The White Orchid Spa is a 6,000 sq foot luxury medical spa, nestled inside of the 4 Diamond Vero Beach Hotel in Vero Beach, FL. We cater to the local community as well as Vero Beach Hotel guests, seven days a week.

Amenities

White Orchid Spa provides fully-equipped locker, shower, and amenity areas for your use and enjoyment the day of your (day)spa visit. Robes, slippers, towels, vanity and personal care products are provided. The ladies’ facility features a Halotherapy Salt Room, cedar wood sauna, and relaxation room, while the men’s facility features a combination cedar wood sauna with Himalayan salt wall and a separate relaxation room. A selection of seasonal fruit-infused waters, herbal teas, and light snacks are available daily.

At the Time of Reservation

Spa coordinators are happy to assist you with your spa reservation. Please inform the coordinator of the following:

  • Allergies, medical conditions or pregnancy.
  • If you have a gender preference for your spa therapist, or if you would like to request a specific spa therapist for your treatment
  • If you are celebrating a special occasion- especially in the case of surprises to avoid automated appointment confirmations
  • If you are taking advantage of any special promotional offers

A credit card is required to confirm your spa reservation in accordance with the cancellation policy.

Arrival Time & Check In

Please arrive a minimum of 15 minutes prior to the start of your day spa reservation time. For medical spa, brow and lash appointments, we ask that you arrive a minimum of 5 minutes prior to your start time. Late arrival will limit the time of your treatment. As a courtesy to our other guests, treatment times may not be extended so that others may begin on time. Arriving visibly intoxicated will prevent us from safely providing treatment, and we reserve the right to refuse service for your protection. The full value of the treatment will still be charged.

Cancellation Policy

Changes made with less than 4 hours notice will result in a $50 cancellation fee to the credit card on file used to secure your reservation. We appreciate your understanding.

Your appointments are very important to all members of our team at White Orchid Spa. Time allocated for an appointment is reserved especially for you. We do understand that sometimes schedule adjustments are necessary; therefore, we respectfully request at least 4 hours notice for adjustments to your appointments and for cancellations. Packages, special events, and group reservations require a 72 hour notice.

Please understand that when you cancel or forget about your appointment without giving enough notice, we miss the opportunity to fill that appointment time and clients on our waiting list miss the opportunity to receive services they need.

Children

We ask as a courtesy to other guests that children under the age of 12 remain in the comfort of your home or guest room. Guests between the ages of 12-17 may receive certain spa treatments with the supervision or consent of a parent.

Environment

Please respect our tranquil environment and the privacy of other guests by leaving all electronic devices (including cell phones) at home, in your locker or in your hotel suite. Electronics and cell phones are not permitted in the treatment or common areas. The spa facility is a smoke-free environment. We kindly ask that visitors keep noise & voice levels low in all areas of the spa.

Your spa professional will check in with you throughout the treatment to ensure your comfort during your visit. We encourage as much communication as possible with our entire spa team. If for any reason you are unsatisfied with your experience, we will make every effort to make it right.

Food & Beverage

The Spa provides a selection of seasonal fruit-infused waters, herbal teas, and light snacks. Outside food and beverage are not permitted. For meals and specialty beverages, we encourage you to visit one of the two lovely seaside restaurants on property before or after your spa visit.

Gift Cards

Ideal for any occasion, White Orchid Spa gift cards are available for purchase in any denomination. Gift cards may not be redeemed for gratuity unless specified at the time of purchase. The Spa is not responsible for lost or stolen gift cards. Gift cards are non-refundable. Gift cards may be purchased online or in-store. Kimpton© or IHG gift cards are not redeemable at the White Orchid Spa. Gift Cards are available online.

Gratuities

For your convenience, a 20% gratuity will be automatically applied on the full value of your services. This may be adjusted based on the service personally experienced. Additional gratuity for exemplary service is at your discretion. Gratuities are not included in published pricing.

Health Conditions

Please inform the coordinator of any allergies or medical conditions that may impact our ability to provide service at the time of reservation. Examples include contagious skin conditions, open wounds or sores, heart conditions, arthritis, DVTs, aneurisms, vertigo, recent surgeries, cancer, or pregnancy. White Orchid Spa reserves the right to refuse treatment to protect your safety. Pregnant women out of their first trimester may enjoy select spa therapies.

Illness

Receiving a spa treatment while ill is strictly prohibited. Spa treatments may worsen existing symptoms by stimulating lymphatic flow. Illness also puts our other guests and therapists at risk. We kindly request you reschedule your reservation if you are feeling ill or are under a doctor’s care. Our therapists reserve the right to refuse service, and our cancellation policy would apply.

Payment

We accept all major credit cards, traveler’s checks, and cash, or Spa treatments may be charged to your hotel folio. Please present discounts, gift vouchers and gift certificates at the time services are rendered. Discounts do not apply to Spa packages, promotions, special events or holidays. Prices are subject to change without notice.

Pricing, Discounts & Promotions

Treatment pricing is subject to change without notice. Blackout dates apply to certain periods of the year, including all holidays and holiday weekends. Discounts and promotions may not be combined, however the best possible pricing will prevail.

Product Return Policy

Returns must be made within 7 days of the original purchase with a receipt to receive credit or make an exchange. Returns without proof of purchase receive spa credit only. There are no refunds or exchanges on cosmetics.

What to Bring

We provide locker room and shower facilities that may be used when receiving spa services. We provide robes, sandals, towels, lockers, hair and body care products. Most spa treatments are enjoyed without clothing, but please wear anything that makes you feel most comfortable. Please do not bring jewelry or valuables, as White Orchid Spa cannot assume responsibility for lost or stolen items. We recommend leaving electronic devices behind for your relaxation.
